TRAINING OFFICER

1. ROLE:

The Training Officer will support and help to develop our internal
trainers and will coordinate and support required mandatory H&S
training delivered by external suppliers.

2. KEY AREAS OF RESPONSIBILITY:

* Managing the administration and maintenance of mandatory training
schedules.
* Deliver pieces of in person training, as appropriate. (room to
expand remit in this area for those interested in development)
* Analysis of training needs on a quarterly and annual basis and
subsequent scheduling of training to meet needs.
* Ensuring accurate employee training records are maintained on file
and on Learning Management System (LMS).
* Research suitable contractors, ensuring product meets legislation
and best practice standards.
* Write proposals for any new pieces of mandatory training or change
in delivery methods being explored.
* Negotiate costings with suppliers annually, ensuring best return
on investment.
* Oversight of invoicing and ensuring on time payment of
contractors.
* Manage online training licence acquisition and distribution and
support completion, as needed.
* Management of internal instructors including certification,
training renewals and scheduling.
* Support internal instructors on site for internal training, annual
collaboration meetings and training reviews.
* Management & maintenance of the training calendar for all
mandatory training pieces.
* Supporting the staff induction process on mandatory training.
* Communicate with services managers to support training bookings,
manage no shows and ensure high levels of attendance.
* Support the L&D team with annual budgeting.
* To support other functions of the People and Organisation
department, as required.

REPORTING:

* Report quarterly on compliance figures for all mandatory training.

ORGANISATIONAL DUTIES 

* To contribute to the monthly and quarterly reports relating to
your work areas.
* Contributing to Organisational projects as and when required.
* Ensuring the ongoing implementation of the fundamental purpose and
ethos of Depaul.
* To ensure that all Depaul policies and procedures are being
adhered to, particularly those relating to Health and Safety, Code of
Practice and Confidentiality.
* To contribute to the effective implementation of the
Organisation’s Equal Opportunities Policy.
* To at all times undertake your role in a professional manner
maintaining a high quality standard of work, and to always work in
accordance with the aims, values and ethos of Depaul.

3. PERSON REQUIREMENTS:

EDUCATION

* 3rd level qualification or equivalent (ideally relating to
Business/HR/L&D)

EXPERIENCE

* At least * years’ experience in a
business/HR/L&D administration role.
* Experience of working with a learning management system
(desirable)
* Experience of managing a training calendar, from planning, booking
and the managing attendees and associated admin. (desirable)
* Experience of working within the social care, not for profit
sector (desirably within homelessness)
* Experience of designing and delivering training (desirable)
* Experience in training role (desirable)

SKILLS

* Excellent oral and written communication skills with an ability to
create communications appropriate for the audience
* Creative and energetic with the ability to work on own initiative
* Excellent time management / enabling to balance a varied workload
and to prioritise
* Excellent negotiating, influencing and people skills.
* Excellent numerical and analytical skills.
* Excellent team skills.
* Good report writing skills with strong attention to detail
* Proficiency in Microsoft Office, particularly Word, Excel and
Powerpoint
* Proficiency in Learning Management tools – ie Totara (desirable)

* Flexibility and ability to work collaboratively across all
departments
